Project overview
Job description
Within the Epic PLUS program, we are carefully preparing the transition to a single, unified EPD. From the soft go-live, all future outpatient appointments will be registered in Epic. To properly support specialists in their outpatient activities from the actual go-live, it is important that relevant patient information from HiX is transferred to Epic in a timely and accurate manner.
The (medical) student will support the specialist in preparing outpatient consultations by transferring selected medical information from HiX to Epic. This information is important for a complete and usable patient overview at the start of working in Epic.

Job requirements
Profile
We are looking for accurate and eager-to-learn medical students or students with another relevant medical education, who have an affinity for record-keeping, patient care, and digital healthcare systems. The student understands that the careful transfer of patient information directly contributes to safe and efficient healthcare delivery during and after the go-live.
Desired qualities
Competencies
Supervision and responsibilities
The activities take place under the supervision of a medical specialist. The student transfers information according to the established work instructions but does not make independent medical decisions. In case of doubt, missing information, or substantive questions, consultation with the supervising specialist always takes place. The specialist remains responsible for the medical assessment and final accuracy of the information in the file.
Employment conditions
Practical deployment
The deployment will be planned at the Leeuwarden location.
An instruction morning is scheduled for all students involved on Friday, November 13th. The first planned activities will start in the afternoon. The work will be carried out based on a clear work list, allowing for focused preparation per specialty and per outpatient clinic.
To make the activities manageable and well-plannable, the preparation is organized per date and per specialty. This means that it will be determined in advance which specialties will be prepared at which times and what substantive supervision will be available. In the first weeks, this approach will be managed centrally to gain experience, refine instructions, and monitor progress. Depending on the experiences and the needs per specialty, it can then be assessed whether it is desirable and feasible to organize parts decentrally as well.
For this request, the aim is to have the most compact group possible. We work with plannable half-days from 08:30 – 12:30 & 13:00 – 17:00. To ensure quality and continuity, we assume a minimum availability of 3 half-days per week per student. If, after the initial weeks, progress is insufficient, it may be decided to also work during weekends in the same time slots.
At the beginning of January, the entire process will be evaluated. This evaluation will consider the production achieved per day, the average processing time per record, the quality of the transferred information, the extent to which sufficient work has been done in advance per specialty, the availability and workload of supervisors, the stability of the student group, the remaining hours budget, and the expected remaining workload. Based on this, it will be determined whether the deployment will be continued, scaled up, scaled down, reorganized, or adjusted for specific specialties.
Naturally, this vacancy is open to everyone who recognizes themselves in this.
